Dryden Soccer Club Registration Information

In an attempt to make everyone’s life simpler, here is a basic overview of the registration process. Both what coaches/managers need to know, and a brief description of what the registrar does.

What does the registrar do?

In a nutshell, the registrar provides specified information to our governing agency, the New York State West Youth Soccer Association, to acquire required insurance on every player, and to produce a document (certified roster) which certifies that all players are insured and of a particular age group.

DEADLINES

Why do we have deadlines? (Or, how to keep the people who do this work sane)

Perhaps the simplest thing to do is start at the end, and work backwards. There are four major seasons with deadlines during the course of the year.

Fall Season - September 1 thru November 15

Winter Season - November 15 thru April 15

Spring Season - April 15 thru June 30

Summer Season - July 1 thru August 31

"....All teams are required to submit their roster and registration data to their District Commissioner/Registrar 30 days prior to the season in which they intend to play. All multiple rostering MUST take place at this time. Per USYSA Rule 4072, Section 4, all multiple rostering must occur simultaneously..."

For spring rosters, a $100 late fee will be imposed on each club for each set of team data received by district registrar after 3/15. Player passes will not be issued until late fee is paid. Not only is there a late fee imposed, the Club is also looked poorly upon by the District.

Here is the path all players take:

  1. Player fills out and sends registration form and money to the Club Registrar (me).
  2. Club Registrar then inputs data into required computerized format, keeps track of who paid and owes what, and submits all payments to the treasurer.
  3. All information and required money is submitted to the District Registrar (Binghamton).
  4. District Registrar handles insurance for each player.
  5. District Registrar then sends information to the State Registrar.
  6. Club Registrar checks rosters and then distributes to coaches/managers. In the spring the Club Registrar distributes players passes to the coaches as well.
  7. Coaches collect pictures from each player and labels them with names. Coach has each player sign their pass exactly as their name appears on the front of the pass.
  8. Coach then returns passes and pictures to the Club Registrar.
  9. Club Registrar attaches photos and returns passes to the District Registrar.
  10. District Registrar stamps and laminates the passes and then returns them to Club Registrar.
  11. Club Registrar distributes passes to coaches.

So, if you notice the season dates listed, you will see that all the information has to be at the DISTRICT registrar 30 days prior to the season. Which means I have to have everything ready to send out at least four days prior to that District Registrar deadline.

I have been allowing myself one week to get all this information ready. So, my deadline to coaches is 1 1/2 to two weeks prior to the District Registrar’s deadline.

Depending on how organized your team is (some have been established for many years now, or some are just starting brand new) you have to gauge how much time ahead of these deadlines you need to have your information to me by my deadlines (listed below).
